Privacy Policy

Ignite 365 LLC ("Ignite 365", "we", "us", or "our") provides AI-powered applications and add-ons for Microsoft Dynamics 365 Business Central (collectively, the "Services"). This Privacy Policy explains what personal information we collect, how we use and protect it, and the choices you have. This policy applies to our website (ign365.com), our Microsoft AppSource / Partner Center listings, and the Services themselves.
1. Information We Collect
We collect the following categories of information:
- Account and contact information: name, work email address, company name, job title, and phone number, when you request a demo, contact us, sign up for a trial, or install one of our apps from Microsoft AppSource.
- Business Central tenant data: when you install and authorize one of our extensions, application will access the specific Business Central data required for that extension to function (for example, item, inventory, vendor, and document records for Magic Import and Logistics Agent, or diagnostic/configuration data for BC Health Check). We do not access data or tables outside the permissions you grant during installation.
- Usage and diagnostic data: log data, feature usage, error reports, and performance telemetry collected automatically when you use the Services, used to maintain reliability and improve the product.
- Website data and cookies: we use essential cookies required for the website to function, and analytics cookies (pages visited, referring URL, browser type, approximate location) to understand site usage. We do not use advertising or cross-site tracking cookies. You can control or disable non-essential cookies through your browser settings.
2. How We Use Information
- To provide, operate, secure, and maintain the Services;
- To respond to support requests, demo requests, and general enquiries;
- To process and fulfil subscriptions purchased through Microsoft AppSource / Partner Center;
- To monitor performance, diagnose errors, and improve functionality;
- To send administrative communications (billing, security notices, service updates); with your consent, to send product updates or marketing communications, which you may opt out of at any time; and
- To comply with legal obligations and enforce our agreements.
3. Legal Basis for Processing
Where the UK/EU GDPR applies, we process personal data on the basis of: performance of a contract (providing the Services you subscribed to), legitimate interests (improving and securing the Services, responding to enquiries), consent (marketing communications), and compliance with legal obligations (tax, accounting, and regulatory requirements).
4. How We Share Information
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We disclose information only to the following categories of recipients, each of whom is contractually required to protect it consistently with this policy and use it only to provide services to us:
- Microsoft, as required to operate through Microsoft AppSource, Partner Center, and the Business Central platform (for example, billing, licensing, and tenant authorization data);
- Hosting infrastructure: Microsoft Azure, which hosts the Services and stores Service data;
- AI sub-processors: where a Service uses AI-generated features (for example, Ignite Assistant or Logistics Agent recommendations), the relevant request data is sent to Anthropic and/or Microsoft Azure OpenAI Service to generate a response. These providers process this data under their own commercial (non-consumer) data protection terms, do not use it to train their general-purpose models, and do not retain it beyond what is required to deliver the response. We only send the data required for the specific feature you use;
- Professional advisors and regulators, where required by law, regulation, or legal process; and
- A successor entity in connection with a merger, acquisition, or sale of assets, subject to equivalent privacy protections.

5. Data Retention
We retain personal information for as long as necessary to provide the Services, comply with our legal and contractual obligations, resolve disputes, and enforce our agreements. Business Central tenant data accessed by our extensions is processed to deliver the relevant feature and is not retained longer than required for that purpose, except where you have configured the extension to store results (for example, health check reports) within your own tenant.
6. Data Security
We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, Azure-hosted infrastructure, and access controls limiting who within Ignite 365 can access customer data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. International Transfers
Ignite 365 LLC is based in Delaware, USA, and our infrastructure providers may process data in other regions. Where personal data is transferred internationally, we rely on appropriate safeguards, such as standard contractual clauses, to protect it consistently with applicable law.
8. Your Privacy Rights
Depending on your location, you may have the right to:
- Access, correct, or delete the personal information we hold about you;
- Object to or restrict certain processing, or withdraw consent where processing is based on consent;
- Request a portable copy of your data;
- Opt out of any future sale, sharing, or targeted advertising use of your data (we do not currently engage in any of these); and
- Not be discriminated against for exercising any of these rights.
Residents of California, Virginia, Colorado, and other U.S. states with comprehensive privacy laws have the rights above under applicable state law (for example, the California Consumer Privacy Act, as amended). Residents of the UK/EEA have equivalent rights under the UK/EU GDPR, including the right to lodge a complaint with their local supervisory authority.
To exercise any of these rights, contact our privacy team at hello@ign365.com. We will verify your request and respond within the timeframe required by applicable law (generally 30-45 days). We will not charge a fee for a reasonable request.
9. Data Breach Notification
If we become aware of a security incident that compromises the confidentiality, integrity, or availability of personal information or Business Central tenant data we process, we will notify affected customers without undue delay and in accordance with applicable law, and will provide information reasonably necessary for you to meet your own notification obligations.
10. Children's Privacy
The Services are intended for business use and are not directed at individuals under 16. We do not knowingly collect personal information from children.
11. Data Processing Addendum
Business customers that require a Data Processing Addendum (DPA) with standard contractual clauses or equivalent terms for cross-border transfers may request one by contacting hello@ign365.com.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the effective date above and, where required by law, notified to you directly. Continued use of the Services after changes take effect constitutes acceptance of the revised policy.
